Stop Losing Students to Missed Calls: AI Receptionists and Auto-Replies

When you’re teaching, you can’t answer the phone — and a learner who calls a driving school and gets no answer may simply call the next one. The fix is to make sure every call gets either an answer or an instant reply, and that you call back every missed number the same day. Here are the options, from free to fully automated.

First rule: never answer while teaching

Taking calls during a lesson is unsafe for you and your student, and using a handheld phone while driving is an offence. Your system should mean you never need to.

Option 1: Someone else answers

If a family member or colleague is at the office, forward calls to them when you don’t pick up. Most mobile operators let you set call forwarding for when your phone is busy or unanswered, usually from your phone’s call settings. Give them a short script and a printed list of your slots, courses and fees.

Setting up call forwarding

  1. Open your phone app’s settings and look for Call forwarding. On some phones it sits under “Calls”, “Supplementary services” or your SIM settings.
  2. Choose When unanswered and/or When busy, and enter the number of the person who will answer.
  3. Test it: call your number from another phone and let it ring.

Menus differ between phones and operators, and some plans charge for forwarded calls, so check with your operator.

Option 2: WhatsApp Business greeting and away messages

The free WhatsApp Business app can reply instantly to messages with your fees, timings and location. It only works for people who message you, not people who call — but many callers send a WhatsApp after a missed call. Make “WhatsApp us” prominent on your board, cards and website. Set it up with our WhatsApp Business guide.

Option 3: Missed-call auto-reply

With a virtual business number from a calling provider, every missed call can trigger an automatic message to the caller — usually on WhatsApp or SMS — with your fees, timings, location and a link to book a first class. Two things to know in India:

  • Business SMS has to go through DLT registration with your telecom operator.
  • Automated WhatsApp messages go through the WhatsApp Business Platform, where templates need approval and Meta charges per message for certain message types.

The caller gets your details within seconds, even while you’re in the middle of a lesson, and you get a list of numbers to call back.

Option 4: An AI receptionist

An AI voice receptionist answers your calls when you can’t — in Hindi or English. It can:

  • Greet the caller with your school’s name.
  • Explain your courses, fees, timings and licence help.
  • Book a first class into your calendar.
  • Log the caller’s name, number, area and question in your inquiry sheet.
  • Send you a summary on WhatsApp so you can call back with the right answer.

Good practice for an AI receptionist:

  • It should say it is an assistant, not pretend to be you.
  • It should never promise a licence, a test date, a discount or anything you haven’t approved.
  • It should hand over to you for complaints, payments and anything unusual.
  • Read the call summaries daily for the first few weeks and improve its answers.

Know how many calls you miss

Before paying for anything, count for one week: how many calls you missed, how many of those numbers you called back, and how many of them joined. Your phone’s call log or your operator’s app shows missed calls. If you miss only a few calls a day, WhatsApp auto-replies and disciplined callbacks may be enough; if you miss many during class hours, an automated option may be worth it.

Many schools combine them: WhatsApp auto-replies for everyone, plus a missed-call reply or an AI receptionist during class hours.

What your auto-reply should say

English: “Sorry we missed your call — we’re in a driving class right now. Courses start at ₹[amount] for [15] days, with slots from [6 am] to [8 pm]. Reply with your area and preferred time and we’ll call you back by [time]. Location: [map link]”

A short script for whoever answers

“Namaste, [School Name]. [Instructor’s name] is in a class right now — can I help? … Which area are you in, and what time suits you? … Our [15]-day course is ₹[amount], with morning and evening slots. I’ll send the details on WhatsApp, and [Instructor’s name] will call you back after the class.”

Close the loop: call back every missed number

  1. After every class, check missed calls and messages.
  2. Call back the same day — earliest callers first.
  3. Add each caller to your inquiry sheet or WhatsApp labels.
  4. Note the source — Google, board, referral, ad — so you know what’s working.

Fast follow-up is one of the cheapest ways to get more students, and if you run ads it protects every rupee you spend — see ads for driving schools.

Set up WhatsApp Business greeting and away messages, put “WhatsApp us” on your board and cards, and call back every missed number after each class.

Should the AI receptionist pretend to be me?

No. It should clearly say it is an assistant for your school, answer common questions, and hand over to you for anything it can’t handle.
